Creating a signature approval
Signature approvals require users to add their signature to an approval document. This topic explains how to create an approval document for a signature approval.
Create a signature approval
This section describes how to add signature placeholders to an approval document.
-
Open the Book editor and select a document to turn it into an approval document. You can also add a new document to the book.
-
Select Create… The Create window appears.
-
To create a signature approval, select Signature approval. A list of approvers and their signatures appears.
Note
If you don't see an approver on the list, that person does not have approval rights enabled. Contact your Customer Success Manager for assistance.
-
To add a signature placeholder for an approver, select and hold the approver's signature, then drag it to the location on the document you'd like it to appear. Release the mouse to place their signature on the document. If an approver does not have a signature on file, No Signature is displayed below their name.
Note
You can add signature placeholders for approvers without a digital signature on file, but they will need to add one or have one added before they are able to submit an affirmative response.
-
You can add signature placeholders on multiple pages of the same document. Use the navigation slider or arrows to move between pages.
Note
You must stay on the pages of the same approval document while you are building it.
-
To remove a signature placeholder, select the field around it, and then select the Delete button on your keyboard.
-
Select Finish to complete the signature approval.
Note
Once an approval has been created, it cannot be changed or unapproved, only deleted.
Update approval settings
By default, signature approvals are set up as unanimous approvals, meaning that all participants are required to approve in the affirmative in order to pass. This section describes how to update the pass threshold and number of affirmative responses required.
-
To set conditions for a non-unanimous approval (such as a majority approval), select Settings in the right-hand panel.
-
Enable the Customize pass threshold option.
-
In the Affirmative approvals required field, enter the number of affirmative responses that will be required to pass the resolution.
-
If the resolution requires a certain number of affirmative responses from independent directors, enter that number in the Independent directors required field.
-
Select Finish to save your changes and complete the signature approval.
