Managing automated email notification settings
The site-level notification controls are located within the Site properties tab, under Notification preferences. These settings introduce a granular way to manage notifications for all users. Four notification types are currently supported:

Meeting reminders

Signature approval reminders

Agenda update notifications

Public note and comment notifications
When notifications are turned on, individual users can control their own preferences for meeting reminders and signature approvals in the Account management area.
For greater clarity about the relevance and urgency of their involvement, automated notifications also include the book title. You can control visibility using the corresponding setting in the Visibility of book names section.
Notification preferences
To go to the Site properties tab and view the Notification preferences settings:

Select Site Management on the main Navigation panel.

Select Site.

Select the Site properties tab.

If the Site properties tab is not visible, it may not be enabled for your site or your account. Contact your Customer Success Manager for more information.

Move down the page to view the Notification preferences section.
Learn more about each setting in the Notification preferences section below:

Meeting reminder Users receive two automated email notifications about an upcoming meeting. The first reminder is sent five days in advance of the meeting, and the second is sent two days in advance.

Pending approvals After approvals are published, participants receive automated email notifications every two days reminding them to respond.

Automatic agenda update A notification is delivered within two hours after an agenda is approved. Any additional updates are sent in automated emails.

Public note and comment Users receive an automated email notification after a public note is saved in a book. They also receive notifications when a comment is added.
Note
These settings do not affect manually composed notifications. The book administrator retains full control over their content.
Account management
Directors and board members can control their personal notification preferences in the Account management area. To go to the Account management area:

Select the Account Options icon
on the top-right of the screen. -
Select Manage your Diligent account.

The Account management area opens in a new browser window.

To view the Email Notification Settings section, move down the page.

Select the arrow
next to Book-related notifications. -
To opt-out of book-related notifications, switch the toggle beside the notification type. The following notifications are available:

Meeting reminder
-
Pending approvals
Note
If a Boards administrator turned off the Meeting reminder and Pending approvals settings for the site, you cannot opt-in to receive automatic notifications.
Note
You cannot opt-out of note and comment notifications from the Account management area. Contact your Boards administrator for assistance.
Note
You cannot opt-out of auto-agenda notifications from the Account management area. These are controlled by the book administrator.
Visibility of book names
Automated notification emails now include the book title, providing recipients with immediate context about what the notification refers to. This enhancement applies to all automated email types. To turn off this setting and prevent the book name from being displayed, clear the check box next to Include book names in automatic email notifications.
