Setting site properties

As an administrator, you can set some of your site properties, including AI language, email notifications, book publishing notifications, security, and watermarking, without contacting your Customer Success Manager. This topic describes how to use the self-service features for site properties.

  1. Select Site Management on the main Navigation panel.

  2. Select Site.

  3. Select the Site properties tab.

    Note

    If the Site properties tab is not visible, it may not be enabled for your site or your account. Contact your Customer Success Manager for more information.

  4. Use the AI configuration section to choose the language for all AI content generation. It is not possible to select different languages for different AI features.

  5. From the Email notifications section, you can add recipients who'll receive an email when a user’s role or account information changes. To add a recipient for role change emails, enter an email address in the field for Role change email recipients.

  6. To add a recipient for account change emails, enter an email address in the field for Account change email recipients.

  7. Select the Enter key or press the Spacebar on your keyboard to confirm the entries. The email address will appear in a grey chip.

  8. To remove an email recipient, select the X icon in the chip.

  9. To disable email notifications for public notes or comments, deselect the checkbox entitled Notify users when a new public note or comment has been published.

  10. Use the Book publishing notifications section to define the default notification types during the publication workflow. These can still be changed at the time of publication.

  11. In the Site security section, you can enable usernames to be displayed in the Username field on the sign-in screen. Select the checkbox next to Allow username to auto-populate upon signing in to Diligent Boards, excluding Diligent Boards Web to enable this setting.

  12. Move down the page to view the Watermarking section. You can apply a watermark on the page view or printed and exported documents. By default, watermarks will appear behind the text of a document, and will display the user’s name and the date and time that the document was viewed, printed, or exported. To enable watermarking for directors, select the checkbox next to Show watermark on documents in Diligent Boards apps for directors.

  13. To enable watermarking for administrators, select the checkbox next to Show watermark on documents in Diligent Boards apps for administrators.

    Note

    The checkbox next to Show watermark on documents in Diligent Boards apps for administrators will be read-only until you enable watermarks for directors by selecting the checkbox next to Show watermark on documents in Diligent Boards apps for directors.

  14. To include custom text, which will appear above the default watermark, you can use copy-and-paste or enter text in the blank field next to Custom watermark.

  15. If Diligent Messenger is enabled for your site, you can move down the page to the Messenger section, which displays your message settings. Use the Message retention period field to identify the number of days users can view their messages in any conversation. Once the retention period expires, users will no longer be able to view the message.

  16. You can also see the number of days users can download an attachment that they’ve received or sent via Diligent Messenger in the Message download period field. Once the download period for a message expires, users will not be able to download the attachment.

    Note

    The fields in the Messenger section are view-only, so you cannot edit the length of time in either field. To update your message settings, contact your Customer Success Manager.

  17. To save your changes on the Site properties tab, select Save.
