Creating a book

Create a book to collect all the materials needed for a board meeting in a central, secure location.

What is a book?

A book is a collection of documents, reports, and other information compiled and distributed to board members. It contains any supporting documents needed to understand and discuss key issues facing the organization.

Note

Only administrators have permissions to create a book. After they publish a book, other users, including directors, have access to it.

How do I create a book?

There are two options for creating a book:

This section explains how to start a book from scratch.

  2. Select Create book.

  3. In the Properties page, enter the following information:

    Book title

    The title of the book

    Start date of meeting

    The meeting start date

    End date of meeting

    The meeting end date

    Allow book to be printed

    Enable directors to print the book

    Include remote conference details

    Enable remote conference details to be displayed

  4. Select Continue.

  5. In the Committee access page, enable the Admins can edit permission for at least one committee.

    You can enable the Users can view permission for any additional committees who need access to the book.

  6. Select Continue.

  7. Review the information in the User access page, confirming which admin users can edit the book and which directors can view the book.

    You may need to move down the page to see the complete list of directors.

  8. By default, all directors in the committee can view the book.

    To remove a director's access, clear the checkbox next to their name.

  9. Select Create book.

    The new book is available on the Bookshelf.

Copy a current book

Copy an existing book to reuse materials in similar meetings.

  2. Select the More options icon on the bottom of a book’s row.

    A list of options appears.

  3. Select Copy book.

    The Copy book page appears. The Book title, meeting dates, and other details are copied from the original book.

  4. You can edit these fields as needed.

  5. Select the radio button next to Include contents to copy the book in its entirety, including the tab structure and all documents.

    By default, only the book’s tab structure is copied.

  6. Select Continue.

    The Book permissions page appears with committee and user permissions copied from the original book.

  7. You can update these permissions as needed.

  8. Select Copy book.

    The book is available on the Bookshelf.

Copy an archived book

Copy an archived book to reuse materials.

  2. Select the Archived books tab.

  3. Select Restore on the bottom of a book’s row.

    The book is restored to the Current books tab on the Bookshelf as an unpublished book.

  4. Select the Current books tab.

    You can use Search, as well as the Sort by and Filter options to find the book.

  5. Select the More options icon on the bottom of the book’s row.

  6. Select Copy book.

    The Copy book page appears. The Book title, meeting dates, and other details are copied from the original book.

  7. You can edit these fields as needed.
