Users of the Entitäten app can can record the following types of entities in the system:

  • Company A company that you own, manage, or are responsible for. You are responsible for making sure the information that authorities like the Companies House have for the company is correct and up to date.

  • Individual A natural person. An example might be a shareholder or an appointee.

  • Other Entity A third-party entity that is not administered in the system. An example might be a corporate director, corporate shareholder, trust, joint holder or branch office. You cannot appoint an entity to an other entity and an other entity cannot have its own share capital or shareholders. However, you can appoint an other entity to a company and an other entity can be a shareholder.

  • Committee A body of appointed individuals with delegated legal authority to carry out a specific function or purpose. Examples include audit committees, investment committees, oversight committees, or steering committees. Committees follow a constitution which sets out how they are to operate.

  • Partnership A business organisation type comprising two or more individuals who agree to share operational management and profit responsibilities. Partnerships typically consist of general and limited partners, designated and non-designated or management and non-management members.

  • Branches A record of additional business locations or offices in another jurisdiction.

  • Registrations in Jurisdiction These give a business rights to operate within a specific jurisdiction such as a state or region.

Quick references

Each entity type and address is assigned a unique the Entitäten app code called a quick reference. The application uses quick references as internal codes to ensure that records are unique:

By default, quick references are automatically generated and assigned when an entity or address is created. Alternatively, quick references can be entered manually and take the form of a more meaningful code, for example, a company number or an internal group coding system.

Entity tools

Wizards

The majority of information entered into the application is done with wizards. Wizards guide users through each step of an event in a simple and intuitive manner. Wizards prompt for information regarding a new event that is relevant to the current screen. Use wizards to create an event that requires history to be stored or forms to be produced.

Wands

When viewing details inside an entity record, the Wand icon provides quick access to the related wizard. This speeds up data entry, as the wizard already knows which entity the specified event relates to.

Options Menu

The Options Menu, located to the right of entity listings, presents options relating to the specified entry that vary depending on whether the current view is inside or outside of an entity record. Generally, the Options Menu provides easy access to reporting or wand functionality.

Edit

The Edit button can be used to amend information, like information that has been entered incorrectly, or to update fields that do not require the recording of historical information, for example, management fields or compliance dates.
