User Roles

User Roles define what type of access a user has to various areas of the system, including views, wizards, data library and reporting.

By default, the following three user roles are available in Diligent Entities:

  • Administrator

  • Standard User

  • Read-only

The administrator can easily define an unlimited number of new user roles, each one unique to the specific needs of the user. User roles can be assigned to users and security groups. The user role attached to the user is applied to the system as a whole by default, that is, when there is no entity-specific security that can be applied.

Each security group has a user role assigned to it. This user role defines the access rights for that group. The user role takes effect when a user that has been assigned to a security group opens an entity that belongs to the security group.

Changes to User Roles

Administrators must keep in mind that enabling certain user role rights for a user role might change the type of user role. For example, selecting certain user role rights for the standard user role might turn it into an administrator user role.

A change to the type of user role might affect licensing. Contact your Customer Success Manger for more information.

Administrators can view information about licence type in the Users and User Roles lists in System Security. The Licence Type filter is also available on the By Details tab for the Users list, so administrators can filter the list of users to see how many users have a specific licence type.

The User Role Rights page of the User Role wizard displays licence type information to guide administrators:

  • The licence type for the user role is displayed next to the Search field and its value dynamically changes as the administrator selects and unselects user role rights.

  • The licence type for each user role right is displayed in brackets after their name.

  • The user role name is displayed in the footer of the page opposite the buttons so that the administrator knows which user role they are changing.
