Invite employees to the Employee Portal

Equity Administrators can invite employees to their Employee Portal individually or in bulk from the Holders tab.

Note

  • The status of the invites will be displayed in the Portal column of the Holders dashboard. No note indicates no invite has been sent, Invited displays when an invitation has been sent and Registered, when they have registered their account.

  • In the Portal tab of the employee profile, Invited On displays the date that the last Employee Portal invite was sent.

  • You can resend a new invitation at any time.

  • After the employee registers their Employee Portal account, you will be able to see their last sign in on the Portal tab. This date updates in real time.

Invite individual employees

  1. Go to the Company section in the navigation sidebar and select Holders.

    The Holders dashboard opens.

  2. Enter the employee's name into the Search shareholder field or scroll through the list.

  3. Select the name or select their more options icon and select Edit from the menu.

    The Employee's profile window opens.

  4. Go to the Portal tab.

  5. Select the Email type from the drop down menu and enter the Email address used for the invite.

    You can choose the Work email or Personal email. If the employee's email was already entered in the Personal Information tab, the emails will pre-populate on this screen.

  6. Select Send Invite.

    A confirmation pop up appears, review before selecting OK.

  7. Select Close and select Save Record.

Invite Multiple employees

  1. Go to the Company section in the navigation sidebar and select Holders.

    The Holders dashboard opens.

  2. Scroll or search for the Employees you want to invite.

    Note

    Make sure that the email address has been added for each employee prior to moving to Step 3. If multiple emails exist for employee, invite will be sent to the work email by default.

  3. Select the checkbox next to their name to add to the invite group.

  4. Select the Invite to Portal button near the top of the screen.

    A confirmation message will pop up after the invites have been sent.

  5. Select Save Record and check off the "Publish to Portal" to record all changes.
