Bulk importing process

Use the dynamic processes template in Bulk Importer to create multiple Risk Manager processes at once and link them to your organizational units. This extends the Bulk Importer experience to Risk Manager processes and their orgunit relationships, reducing manual data entry and onboarding time.

Before you start

Before importing Risk Manager processes:

  • Confirm you have System Admin access; only System Admins can bulk upload Diligent One resources from Bulk Importer.

  • Decide which processes you want to load and which org units each process should be related to.

Open a new Bulk Importer session and download the template

  1. Open the Platform home page (www.diligentoneplatform.com).

    Note

    If your company uses more than one instance in Platform home page, make sure the appropriate instance is active.

  2. Select Platform Settings, and under Organization management, select Organization.

  3. On the page that appears, in the Bulk Importer section, click Manage bulk resources.

    A new Bulk Importer session begins, with the session ID appended to the URL.

  4. Under Select resource, choose the dynamic Risk Manager processes template. The template:

    • Uses display names instead of admin/field names.

    • Includes the organization’s toolkit and custom attribute settings and orgunit information for processes.

  5. Select Download .xlsx template to save the file to your computer.

Prepare data in the Risk Manager processes template

Open the downloaded Excel file and go to the Processes worksheet. The template is dynamic and includes baseline Risk Manager fields plus any configured custom attributes and orgunit fields.

Populate at least the following baseline attributes for each process:

The template also includes orgunit information and any custom attributes defined in the organization’s toolkit for processes, surfaced through the same dynamic API used for other dynamic templates.

When you finish entering data, save and close the template, keeping the .xlsx format and original worksheet names.

Note

Retain the file in its original .xlsx format and do not rename or remove any worksheets or columns.

Upload Risk Manager processes

  1. In the Bulk Importer session, upload your completed Excel template:

    1. Drag and drop the file into the browser window, or

    2. Select Choose from your computer and select the updated file.

  2. Bulk Importer validates the file and displays a success or failure message. The latest session is updated in the Sessions table, where you can see status, uploader, file name, and links to the template or error log.

Behavior on duplicates and updates

  • The Risk Manager bulk upload extension for processes is intended primarily for creating new records at scale.

  • Where duplicates occur, they are treated as errors rather than silently overwritten, so that data integrity is preserved.

  • Use the Risk Manager UI or dedicated update flows where available to modify existing processes after they have been created.

Troubleshooting

If the upload fails or partially succeeds:

  1. In the Sessions table, locate the relevant session and review the Status.

  2. Download the error log for that session to see validation messages and row level issues.

Common issues include:

  • Too many rows There may be more rows in the file than supported in a single upload. Reduce the number of rows and reupload.

  • Missing mandatory fields Required fields (such as Name) are blank or missing in one or more rows. These rows are not processed until corrected.

  • Invalid data formats or values For example, dates not matching the required format or field values not matching dropdown or lookup options.

  • Template changes New fields added, fields removed, or worksheet names changed from the original template, causing the upload to fail.

Correct the issues in the Excel template, save it, and then upload again:

  • Use a new session when adding new processes.

  • Follow your organization’s recommended update approach if you need to change data for processes that already exist.
