Projects app settings

Projects is an app in Diligent One.

No extensive setup and configuration for Projects is required, but you must assign roles and privileges to users in Projects before they can use the app. Additional setup and configuration is optional.

How it works

Professional Managers can update project and framework settings. Project Admins can update settings that apply to all projects in the Diligent One instance. Project Type Admins can update settings that apply to projects of the project type to which they are assigned.

Update project settings

Update settings associated with a project.

Note

  • Interface terms are customizable, and fields and tabs are configurable. In your Diligent One organization, some terms, fields, and tabs may be different.
  • If a required field is left blank, you will see a warning message: This field is required. Some custom fields may have default values.
Note

You cannot update project settings while one or more sections in the project are checked out (using Diligent One for iPad or Offline Projects). To update project settings, you must check in all sections into the project.

  1. From the Platform home home page (www.diligentoneplatform.com), select the Projects app to open it.

    If you are already in Diligent One, you can use the left-hand navigation menu to switch to the Projects app.

    The Projects home page opens.

  2. Open a project.

    The project dashboard opens.

  3. Select the Settings project management tab.

    The Settings subtab opens.

  4. Complete any of the following steps:
    • Update the name of the project select the project name, enter the new value, and select the checkmark  to save.

      The maximum length is 120 characters.

    • Update the description for the project select the description text, make the necessary changes, and select the checkmark  to save.
      Note

      Rich text fields cannot exceed 524,288 characters.

    • Modify any of the following fields:

      Project Type

      the type of project you are conducting

      The labels and terminology used in Projects are dependent upon the project type that you select. For more information, see Workflows and project types.

      Caution

      Changing the project type of a project permanently removes data associated with the following items:

      • assessment drivers
      • custom risk scoring factors
      • custom date fields
      • custom attributes

      Once removed, you are not able to restore any of these items in the project.

      Status

      the classification specified for the project

      Budgeted Hours

      optional

      the total number of hours that have been allocated for the project

      You can specify a number between 0 and 2147483647.

      Assurance

      optional

      Select Enable to enable assurance in the project.

      Control Performance

      optional

      Select Enable to enable control performance in the project.

      Note

      You must be a System Admin with a Professional subscription in Diligent One Platform to enable control performance. For more information, see Scheduling control performance.

      Certifications

      optional

      Select Enable to enable certifications in the project.

      You must be a System Admin with a Professional subscription in Diligent One Platform to enable certifications. For more information, see Creating certification programs.

      Header alert

      optional

      displays a custom or default message as a red banner at the top of each page within the project.

      Select Enable to enable the header alert. You can keep the default message, or write your own.

      Fieldwork Start Date

      		the date your project is scheduled to begin

      Target Completion

      		the date your project is scheduled to be completed

      Planned Start Date

      optional

      specifies the date when work on the project is planned to start

      Project Admins and Project Type Admins can enable and customize this field under Manage project types.

      Planned End Date

      optional

      specifies the date when work on the project is planned to end

      Project Admins and Project Type Admins can enable and customize this field under Manage project types.

      Actual Start Date

      optional

      specifies the date when work on the project actually started

      Project Admins and Project Type Admins can enable and customize this field under Manage project types.

      Actual End Date

      optional

      specifies the date when work on the project actually ended

      Project Admins and Project Type Admins can enable and customize this field under Manage project types.

      Planned Milestone Date

      optional

      specifies the planned date of a milestone associated with the project

      Project Admins and Project Type Admins can enable and customize this field under Manage project types.

      Actual Milestone Date

      optional

      specifies the actual date of a milestone associated with the project

  5. Optional. If you selected one of the Internal Control Projects subtypes in the Project Type dropdown list, modify the following field, and select Save:

    What is the maximum sample for testing?

    Enter the value to use as the maximum sample size.

    The default value is 25. You can specify a number between 0 and 2147483647.

    Note

    Sample size is set when a test plan is generated the first time, which occurs when you create a control.  The sample size does not automatically update if you change the control.

    For example, if you set the sample size to a different value manually, the sample size value does not override back to one of the defaults. For more information, see Executing procedures and testing controls.

Update framework settings

Update settings associated with a framework.

  1. From the Platform home page (www.diligentoneplatform.com), select the Frameworks app to open it.

    If you are already in Diligent One, you can use the left-hand navigation menu to switch to the Frameworks app.

  2. Open a framework.

    The framework dashboard opens.

  3. Select Settings.

    The Framework Settings subtab opens.

  4. Complete any of the following steps:
    • Update the name of the framework select the framework name, enter the new value, and select the checkmark  to save.

      The maximum length is 120 characters.

    • Update the description for the framework select the description text, make the necessary changes, and select the checkmark  to save.
      Note

      Rich text fields cannot exceed 524,288 characters.

    • Modify any of the following fields:

Update settings that apply to all projects

Update settings that apply to all projects in the Diligent One instance.

  1. From the Platform home home page (www.diligentoneplatform.com), select the Projects app to open it.

    If you are already in Diligent One, you can use the left-hand navigation menu to switch to the Projects app.

    The Projects home page opens.

  2. Under System administration, select Settings.
  3. Optional. Update any of the following fields or areas:
    Field / areaDescription
    Report Title

    specifies the title of all of the reports you generate in Projects

    Delete archived projects after

    specifies the number of years that archived projects are retained within Projects and then automatically deleted from the system

    Project deletion is based on the date the project was archived. For example, if a project was archived on January 3, 2018, and the retention period is set to three years, the archived project will be automatically deleted on January 3, 2021.

    Note

    To disable this feature, specify 0.

    Allow anyone to update the status of actions
    • Enabled Anyone with access to actions can update the action status.
    • Disabled Only licensed Diligent One users with access to actions (Professional Managers, Professional Users, Oversight Executives, and action creators) can update the action status. For everyone else, the action status field is read-only.

    Allow Contributor Tester to manage Walkthroughs
    • Enabled A Contributor Tester assigned as the Control Owner has read/write access to the controls, walkthroughs, and testing.
    • Disabled Limits the Contributor Tester assigned to the control test to handle testing only. (All functions except the control test is read only.)
    Enable AI features
    • Enabled Activates AI-powered capabilities in Projects for system administrators. You must first review and select Agree to the AI feature terms before the toggle can be turned on. When enabled, AI features are available to all administrators.
    • Disabled AI features remain turned off for all users. Administrators can enable them later by selecting Agree to the AI terms and turning on the toggle.

Control how file downloads behave in Projects, Frameworks, Assurance Plans, Timesheets

Project Admins can configure an organization-level setting that changes how users download files from projects, frameworks, assurance plans, and Timesheets.

How it works

  • Default behavior (setting off) File downloads follow each user's browser download settings.
  • Setting on in supported browsers In Chrome and Edge, users are prompted to confirm the download and choose a save location before the file downloads.
  • Setting on in unsupported browsers If the browser does not support the File System Access API, download behavior remains controlled by the browser settings.

Note

When the setting is on in a supported browser (Chrome or Edge), the browser displays a built-in permission message stating that the site can view the download path and see edits made to the file. Diligent One uses this permission only to save the file to your chosen location. The connection is closed immediately after the download completes, and Diligent One does not access or monitor the file afterward.
