Managing users

The Settings page allows administrators to manage AI Reporting user access and permissions. Only users with the admin role can access this page.

Important

User management is an admin-only feature. Users with admin role in Diligent One Platform inherits the admin role inside AI Reporting. If you do not see the Settings option in the side navigation, you do not have admin permissions.

Accessing settings

To access the user management page:

  1. Select Settings in the side navigation.

  2. The Manage users page opens, showing all current users and their assigned roles.

Understanding user roles

AI Reporting uses two roles to control user permissions.

Role Capabilities
Author
  • Create, generate, and refine reports.
  • Browse and select data sources from Risk Manager, Results, or personal CSV self-uploads.
  • Publish reports (viewable by you and Admins) under Reports page.
Admin
  • All Author capabilities.
  • Access the Settings page.
  • View and manage all users in the organization.
  • Add new users with Author permission.
  • Delete users (Author only, Admins cannot be deleted).

Tip

Reports published by Authors who were deleted, will be retained and can be viewed under reports by the Admin.

Adding a new user

To add a user to AI Reporting

  1. On the Manage users page, select Add user.

  2. The Add user dialog opens, showing a searchable list of users available in your organization.

  3. Use the search field to find the user you want to add by username or email address.

  4. Select the checkbox next to the user's name to add them.

  5. In role dropdown select Author.

  6. Repeat steps 4–5 to add multiple users and assign their roles in a single action.

  7. Select + Add to confirm and complete the user additions.

Tip

You can add multiple users at once. Select checkboxes for all users you want to add, assign roles to each, and then select + Add once to add them all together.

Viewing and managing users

The Manage users table displays all users who have access to AI Reporting. The table shows each user's name, email address, and assigned role.

Searching for a user

Use the Search field at the top of the users table to quickly find a specific user by name or email address.
