Onboarding

If you are the first user in your organization who is signing in to Compliance Education for the first time, you'll be guided through an onboarding form. This onboarding form collects your company profile and training preferences, which is used to generate a personalized training plan tailored to your organization's compliance and training needs. This initial setup typically takes just a few minutes but it can be reassigned or deferred until a later time, if needed.

After the onboarding form is completed, all other users in your organization skip the form and go directly to the training courses and dashboard the first time that they sign in. They benefit from the company profile, training priorities, and schedule established during the initial onboarding setup.

Complete the onboarding form

On first sign-in to the application, you may be prompted to complete an onboarding form if it has not already been completed. You may also assign this task to a colleague, or you may be assigned this task by another colleague.

Note

If you close your browser or your session times out before completing the onboarding form, your progress is not saved and you'll need to restart from the beginning when you next sign in.

  1. To assign the onboarding form to another person, select Skip this setup and select Assign to a colleague.

    1. Select the colleague that you want to reassign this task to from the dropdown menu.

    2. Select Assign.

    3. An email is sent to your colleague with details about the reassignment and a link to complete the onboarding form.
  2. If you choose to defer the onboarding to a later time, a persistent banner appears on the Courses page with an option to resume it.

You can defer and resume as many times as needed until you fully complete the form.

You can also opt in to AI recommendations at a later time by navigating to Settings > Data and AI > Use AI to generate my training plan.

  3. If you want to opt in to AI recommendations now, select Get started to begin completing the onboarding form.

  4. Select your training package and select Next.

  5. Enter your company's profile information and select Next:

    • Industry Select your company's primary industry from the dropdown. This helps to tailor the recommendations specific to your industry.
    • Employee count Select the size range that best represents your company.
    • Regions of operation Select all geographic regions where your company operates. This ensures the consideration of regional compliance requirements when building your training plan.
    • You can also complete the optional fields for employees and whistleblower hotline.
  6. Select up to 10 training priorities that your company has committed to or finds most important for your compliance and ethics program.

  7. Select your Preferred months and Months to avoid for your training schedule and select Next.

  8. Attach your company logo and brand guidelines to personalize the training experience. The logo appears throughout the training interface to reinforce brand consistency.

This step is optional, so you can skip it and complete it later in Settings > Brand identity.

  9. Select Finish to complete the onboarding form and start the generation of the training program.

  1. When the generation is complete, select Go to Courses to view your training program.

You will then be contacted by a Diligent compliance expert to go through the selected training requirements. Using the AI-recommended training plan that was generated from the onboarding form as a starting point, the course curriculum can be updated and finalized following this consultation.

Deferring onboarding

If you need more time to complete the setup or you don't have all information needed at that time, you can defer it and resume it later.

  • Deferring setup If you select I'll do this later on the onboarding form, you'll be prompted again on your next sign in. A banner on the Courses page will remind you to complete the setup with an option that takes you directly to the onboarding form.
  • Resuming deferred onboarding When onboarding is pending, a persistent banner appears on the Courses page with an option to complete the setup. You can defer and resume onboarding as many times as needed until you fully complete the form.

Multi-user account scenarios for onboarding

  • Active session protection While one user is actively completing the onboarding form, the banner is hidden for all other users in your organization during that session. If the session is abandoned, such as closing the browser or session timeout, the banner reappears for other users when they first sign in.
  • First user to complete onboarding When any user in your organization fully completes the onboarding form, the setup banner disappears permanently for all other users. They can access training courses directly when they first sign in without seeing the onboarding form.
  • Second and subsequent users After the first user completes onboarding, all other users in your organization skip the form and go directly to the training courses and dashboard when they first sign in. They benefit from the company profile, training priorities, and schedule established during the initial onboarding setup.
