Entities AI transparency notice

Diligent released a set of early access Artificial Intelligence (AI) upgrades to Entities to drive efficient, informed, and impactful entity management.

The following AI features are available in Entities:

  • AI Document Summary
  • Entities AI Assistant
  • Chart assist

Note

AI enhancements are available to clients with the Entities Platform package and clients who joined the Entities AI Early adopter program. For more information, contact your Customer Success Manager.

AI features are inactive by default. Before you can use them, your organization's administrator must provision the features for you.

AI model

AI Document Summary uses Anthropic Claude 3 model to deliver results. For more information on Claude 3, refer to Anthropic website.

Data encryption

Data you enter is secure at all stages. Every time you use Entities AI features, your data is protected using industry-standard protocols and unique encryption keys during transfer and processing.

Data transfer and storage

  • Encryption in transit During transfer, both the data you enter and the AI results are encrypted with execution-specific keys for secure data transmission.
  • Data deletion from AWS After data transfer, the data is deleted from AWS as soon as possible, so that no data remains in cloud storage after processing.
  • Results storage Results, such as document summaries or entity information, are securely transferred back to the source Diligent data center for storage. After AI results are generated, they are stored in Diligent's data center until you decide to delete them, so that they're only generated once.

Limitations and considerations

AI-generated content may contain inaccuracies. Always verify the correctness and accuracy of AI results.

AI Document Summary

For optimal performance and usability, AI Document Summary has the following limitations:

  • The following file formats are supported: DOC, DOCX, PDF, RTF.
  • The maximum file size is 10 MB.
  • You can generate up to 10 summaries simultaneously.
  • For optimal results, use source documents in English. You may also try summarizing documents in Spanish, French, German, Italian, and Portuguese with caution. You can use AI Document Summary on documents in other languages, but AI summary accuracy may differ depending on the source language.
  • AI summaries are generated in the language set by an administrator in System options. AI Document Summary supports the following languages:
    • English (United Kingdom)
    • English (United States)
    • French
    • German
    • Spanish

Entities AI Assistant

  • Entities AI Assistant retrieves only existing Entities data. If no data is available for a selected query, Entities AI Assistant will not generate it.
  • Users can only access information they have access permissions for. User roles and security groups control the information Entities AI Assistant gives to each user.

Chart assist

  • The maximum size of a chart is 750 entities. Chart assist will not create conditional formatting suggestions for larger charts.
  • You can generate one conditional formatting suggestion at a time.
