Create Address Types

Administrators can create address types for all types of entities.

To start using new address types in the application, you must first create the address type then assign it to the entity type so that it displays on the entity detail page.

Create Address Type

  1. Go to System Tools > List Manager and select Address Types (All).

  2. On the All Address Types page, select New to open the All Address Types wizard.

  3. On the Address Type Details page of the wizard, enter a quick reference and a description for the new address type and select any options that apply, if any. Select Next.

    Select the Is this a heading, not a type of address? option to create a heading for address types. You can use headings to group address types together such as the Primary Addresses heading on the Company Details page.

    Use the Do you expect a name to be entered on the first address line? option if you want the address to require a name to appear as the first line of the address. Names are normally expected on contact addresses, for example, on the presenter's address, as this is the address that appears on statutory forms.

    With the Company Records Address Type option, you can mark addresses normally used for keeping company records such as register of members or register of directors and secretaries.

  4. On the Address Options page, select the access group that applies to the address type and select Next.

    Access groups are used to restrict user access to address types, for example, you may want particular users to not have access to directors' home addresses. By default, all addresses are placed into access group 0 or 1. If you want to restrict access to an address type, use access groups 2 to 19 and make sure to remove access to the selected group in the Address Security section in User Role Rights. For more information refer to User Role Rights.

  5. On the Countries page, select the countries the address type applies to.

    By selecting any countries, you make the address type jurisdiction-specific, so it only displays for companies in the selected countries. If you don't select any countries, the address type applies to all countries. Alternatively, select the Exclude from the selected countries option and select the countries the address type does not apply to.

  6. Select Finish.

    The address type is added to the list on the All Address Types page. The table holds the following information about address types:

    • The quick reference and description of the address type.
    • The Heading column shows whether the address type is a heading.
    • The L1 Name column shows whether a name should appear as the first line of the address.
    • The Countries column shows the countries the address applies to or if the Not Ctry column holds an X, it shows the countries the address does not apply to.
    • The AG column holds the access group the address type belongs to.
    • CRAT stands for Company Records Address Type and shows whether the address type is marked as company records address type.

Assign Address Type to Entity Type

You can assign the address type you created to one or multiple entities.

  1. Go to System Tools > List Manager and select the address types for the entity such as Address Types (Company).

    On the Company Address Types page, you see the address types and their headings in the list. You can add your new address type under an existing heading or add your own heading to the list first. In the sequence, the heading comes first and the address types come after.

  2. On the Company Address Types page, select New to open the Company Address Types wizard.

  3. Complete the Address Types Details page.

    1. Add a new heading by entering a sequence number and selecting the address type you marked as heading.

      The sequence number determines the place the address type or heading takes in the order of addresses in the entity details page. In this example, the Home Address heading is added as the last heading, so 2100 is entered as sequence number.

  4. Select Finish.

    The heading and the address type are added to the list of address types on the Company Address Types page and they display at the bottom of the Addresses page in Company Details.
