Validations
Validations are a set of rules for companies that control what a company can or cannot have, or what is needed for certain events.
Validations control, for example, whether a company can have fractional shares or whether a director's nationality and date of birth must be entered before they can be appointed to a company. They are automatically assigned to companies upon creation based on the company type, the status, and the jurisdiction the company is in. The validations can also be amended and it is possible to select a different validation set to be applied to a company.
View Validations
Users can view the validation set selected for the company on the Validations tab in the Company Options Wizard. To open the wizard, go to Company Details and select Wizards > Administration > Company Options Wizard.
If the validations are set automatically for the company, the Set Validations Automatically option is selected. The validation set the company is using is visible in grey in the Validations field. Clear the Set Validations Automatically option to select a different validation set for the company.
To view what is missing from the company according to the validations, go to Compliance > Validations in the company record.
Edit Validations
Administrators can view and edit the configurations for the validation set in System Tools > List Manager > Validations. Open a validation set to see or change any of its details.
Item Details
The Item Details tab shows the country the validation set applies to, the quick reference and the description of the validation set.
Events
The Events tab hold validations related to events. When validating events, the system returns error messages if the event is missing details according to these validations, or if the event does not conform to the validations. You can enable options such as fractional shares or disable the option that a director or officer must have their home address entered, before they can be appointed to a company.
Event Options
The selected event option determines what information is output on applicable forms, for example, if you select Occupation, the relevant forms output the person's occupation, whereas, if you select Job title, Occupation, the person's job title is output on forms and if there is no job title recorded for the person, the person's occupation is output to the form.
Enter a formulae in the Par Value Class field to override the default share class name that appears on various pages, forms, reports, and registers. The default share class name that appears for a par value class is the par value of the class, such as £1 followed by the name of the class, such as ordinary.
Enter a formulae in the No-Par Value Class field to override the default share class name that appears on various pages, forms, reports, and registers. The default share class name that appears for a no par value class is the name of the class, such as ordinary followed by the no par value.
Warnings
You can select to display validation warnings for companies when there is missing or incorrect information that is often required, but for most operations is optional.
The Company Name validation checks whether the company's name complies with the company type, for example, if it is a limited company, the validation checks if the name ends in Ltd, L.T.D, or Limited.
Errors
On this tab, you can select validation errors that relate to missing or incorrect statutory information, or information that is required for forms. It is important to correct validation errors before continuing your work.
Company
On this tab, you can enable or disable different sections of a company's information, such as industrial classifications or directors interests.
Compliance
On this tab, you can hide tabs from the Compliance section of a company if they are not needed. With these options you can set up reminders to use the due and overdue dates to remind you of when accounts, annual returns, and annual meetings become overdue for certain jurisdictions only.
The Depends on Elective Resolutions passed option controls whether reminders should take into account any elective resolutions that have been passed. This option works in conjunction with the Check for Annual Meetings option. If both options have been enabled, reminders ignore the Check for Annual Meetings option and therefore you do not get a reminder for annual meetings.
Automatic Documents
The Automatic Documents tab enables you to disable or enable automatic production of statutory forms and documents following certain events, where available, for example, after an allotment of shares.
Automatic Reminders
The options on this tab apply to events saved as pending. You can specify when users should be reminded about different events.
Templates
On this tab, you can specify the template group that is to be used when producing documents. Use this if you have custom templates that you want to use.
