Restrict User Access to User-Defined Fields

Administrators can control which users have access to a user-defined field.

  1. Go to System Tools > User-Defined Fields and go to the tab where the user-defined field is located such as Companies Only.

    The page displays the list of user-defined fields for companies. In the AG column of the table you can see the access group assigned to each field.

  2. Open the field details and go to the Display Control tab to change the access group the field is associated with.

    Note

    Make sure the user-defined field is visible.

  3. Select Finish to complete the wizard.

  4. Go to System Tools > System Security > User Roles and open the user role whose access to the user-defined field you want to change.

  5. Select Next to proceed to the User Role Rights page of the wizard and on that page, select or clear the selection for the UDF access group the user-defined field is associated with.

    1. To control view access to the user-defined field, select or clear the selection for the View: UDF Access Group <number> (Read Only) user role right.

    2. To control edit access to the user-defined field, select or clear the selection for the Edit: UDF Access Group <number> (Standard) user role right.

  6. Select Finish to complete the wizard.

    Users that have the selected user role assigned now have the rights you set for the user-defined fields.
