Restricting User Access to User Defined Menus

User Defined Menus can also be restricted using Access Groups.

User Defined Menus include Toolbars, Portals and Banners, as well as links created on Pages. Toolbars, Portals and Banners contain a series of links to various parts of the system. For example, a stored document, a particular entity, Data Libraries, search pages and/or links to external websites.

With regard to Banners and Portals, the Administrator can restrict access to the entire Portal or Banner, or just to certain links within a Portal or Banner. To restrict access to User Defined Menus, navigate to:

  • System Tools > User Defined Menus.
  • Open the relevant User Defined Menu and then select the Security tab
  • Select the relevant Access Group and select Finish.
  • You will then need to remove access rights to this User Defined Menu Access Group from the User Role under System Tools > System Security > User Roles.
  • Deselect the relevant User Defined Menu option, noting that if you are using Security Groups which are using the Remove Rights and Continue Roll-Up Security Group option, this Access Group will need to be selected in order for it to be removed from the relevant User's access rights.
  • Select Finish.
  • Any User Defined Menus belonging to the removed User Defined Menu Access Group will be hidden, including Other Reports.
  • To restrict User Access to an entire Portal, open the Portal and move it into a relevant Access Group, subsequently removing access rights to it within the User Role, noting that if you are using Security Groups which are using the Remove Rights and Continue Roll-Up Security Group option, the relevant Access Group will need to be selected in order for it to be removed from the relevant User's access rights.
