Administering Evidence Hub

Use this topic to understand what Evidence Admins control, how to maintain ownership continuity, and how to use app activity logs. It also explains the access boundaries that admin privileges do not cross.

What admins control

Evidence Admins manage app-level administration and governance operations.

Admin area What admins can do
Labels Configure categories, labels, and access restrictions.
Access governance Discover non-discoverable records for oversight.
Record closure Archive and delete records where policy allows.
Audit Review app-level activity history.

Note

This admin set does not cover AI admin configuration.

Managing AI settings

Evidence Admins can manage AI-related capabilities that affect how respondents and reviewers interact with records.

  • AI Validation controls whether respondents can check evidence completeness against the request criteria before submitting.

  • Comments supports AI-powered contextual conversation within records for all participants.

These capabilities are enabled at the record level by the owner during setup. App-level AI configuration and model management are handled separately.

Access boundaries for admins

Admin governance privileges are separate from record read and download privileges.

Discovering a record does not automatically grant open or download permissions.

Using app activity logs

App activity logs capture high-impact governance and configuration events.

  • Category and label creations, updates, and deactivations

  • Admin privilege changes

  • Permanent record deletions and actor details

  • Settings and Deterministic Skill configuration changes

Filtering and reviewing admin logs

  1. Open the app activity log area.

  2. Filter by date range, action, user, or object.

  3. Review the matching entries and correlate them with record history if needed.

  4. Export the filtered entries for offline analysis or reporting.

Note

Unlike the record activity log, the app activity log supports export.

Tip
