Managing access requests

Use the Access requests page to review access requests that need your decision and track requests that you submitted. To request access to an Evidence Record, see Managing access and collaborating on a record.

Access request views

The Access requests page has two views:

View Purpose
Received Shows requests awaiting a decision for Evidence Records that you can manage.
Sent Shows access requests that you submitted, including the Evidence Record, owner, and Evidence Record status.

Both views include search, status filtering, column controls, refresh, and reset. The Received view also includes the Owned by me filter.

Owned by me narrows received requests to Evidence Records that you own.

When results span multiple pages, use pagination to move between pages.

Managing received access requests

Review a received request before deciding whether to grant the requester access to the Evidence Record.

  1. In side navigation, select Access requests.

  2. Select Received.

  3. Locate the request by using search, the status filter, or the Owned by me filter.

  4. Review the Evidence Record name, description, requester, and Evidence Record status.

  5. Select Approve or Decline.

When you approve a request, the requester receives the Viewer role for the Evidence Record and a notification. Download access still depends on the record's downloadable setting and any label restrictions. When you decline a request, the requester does not receive access and receives a notification.

Access request permissions

Access request actions depend on your application role and your access to the Evidence Record.

  • Evidence Record owners can approve or decline requests for records that they own.

  • Evidence Admins can review and decide pending requests for discoverable Evidence Records, including records that they do not own.

  • Evidence Admins cannot approve or decline their own access requests.

When an Evidence Admin decides a request for another owner's record, the owner receives a notification that identifies the Evidence Record, requester, decision, granted access level when applicable, acting administrator, and decision time. The activity log records the decision.

Track sent access requests

Use the Sent view to check requests that you submitted.

  1. In side navigation, select Access requests.

  2. Select Sent.

  3. Use search or the status filter to locate the request.

  4. Review the Evidence Record name, description, and owner.

After a decision, the request is removed from both the requester's and decision maker's pending-request views. The requester receives a notification of the decision, and the Evidence Record activity log records the approval or decline.
