Working with actions

The action workflow is managed through the following role-specific responsibilities:

  • The Action owner and Action approver manages the action workflow.

  • The Action owner can start the action and mark it as complete.

  • The Action approver can either approve or reject the completed action.

Following are the different action statuses:

Action Description
Draft The action is created but not yet initiated. It remains invisible to the Action owner.
Open

The Type manager or Issue manager configures and starts the action.

Pending

This action starts only after the previous action completes. Until then, it is invisible to the action owner.

In progress

The action owner started the action by selecting Start in the Action management dialog.

To be approved

The action is completed by the Action owner and is awaiting approval. If approved, it automatically moves to Closed. If declined, it returns to In Progress for further updates.

Completed The action is been Approved and Completed. No further updates can be made.
Discarded The action is Discarded if the associated issue is also in a discarded status.

Starting an action

You can start an action only after it is assigned to you. You'll be notified when an action is assigned.

  1. From the Platform home page (www.diligentoneplatform.com), select the Issue Manager app to open it.

    If you are already in Diligent One, you can use the left-hand navigation menu to switch to the Issue Manager app.

  2. From the Issue list, select the issue associated with the action.
  3. On the Manage Issue tab, select Start.

Note

You can start only one action at a time, even if several are assigned to you. When you click Start, the action status changes to In Progress.

Marking an action done

  1. From the Platform home page (www.diligentoneplatform.com), select the Issue Manager app to open it.

    If you are already in Diligent One, you can use the left-hand navigation menu to switch to the Issue Manager app.

  2. From the Manage issue tab, select Mark as done.
    If the action has an assigned approver, it moves to the To be approved status. If not, the action is marked as Completed.

Approving an action

Approving an action functionality allows an Action approver to review actions that are in To be approved status. This step is essential for maintaining workflow integrity, ensuring that all completed actions are properly reviewed and validated by an authorized individual.

This section provides the following key functions:

  • The Action approver can either approve or decline the action.

  • Supporting documents can be attached to justify the approval decision.

  • Upon approval, the action status changes to Completed.

  • If declined, the action reverts to In progress, requiring the Action owner to make necessary updates before it can be resubmitted for approval.
