Scheduled Reminders

The Reminders feature is available in both the classic and modernized versions of Entités. This section helps you understand how reminders work across both experiences. In the classic version, reminders are scheduled during the review setup process and follow a predefined timeline until the review is completed. On the other hand, the modernized version offers a simplified reminders table with filters and display options, allowing you to easily track and manage event reminders by urgency, date, user, and more. Learn how to use reminders effectively in each version to stay on top of compliance-related tasks.

Reminders in classic Entités

Reminders can be scheduled prior to initiating a Review. The Initiate Review wizard enables date selection when a Review is initially created.

Note

Reminders should be scheduled prior to initiating a review.

Establish a Schedule

A Reminder Schedule is initially established within the Review Manager Review Setup.

A Review Setup includes a Followup Reminder Timing dropdown menu which lists different timing options. Selection of a timing option will establish an initial schedule, as long as the selection is before the Review's due date.

Once a schedule has been established, dates will be added to the Review Initiation. These dates will populate the calendar up to the specified Review due date, therefore determining when Reminders will be emailed to the appropriate individuals.

Note

Once dates are scheduled, they cannot be changed. A Reminder can, however, be deleted.

Each Reminder can have a unique message added to it. The message can be edited by selecting the Wand button located next to it.

Reminders are populated with the schedule of dates and display on the Batch Listing screen.

Selecting the number for a Reminder in the Reminders column will open a detailed Reminders Schedule, providing a detailed breakdown of the status for each Reminder.

The various statuses are as follows:

  • Complete: Reminder has been sent.
  • Skipped: Reminder will occur on the same day as another notification, and so is skipped.
  • Pending: Reminder date is in the future and has not yet occurred.

Emails are sent to the designated individuals within the Review Setup. Upon completion of the Review, the reminders cease.

Reminders in modernized Entités

The modernized version of Entités includes a simplified table of event reminders with filters and features to help you view and analyze them efficiently. To view the reminders for a specific entity in the modernized version, go to Compliance > Reminders.

Note

Vous pouvez afficher ces informations dans la version Entités modernisée et dans la version Entités classique. Pour apporter des modifications aux données, utilisez la version Entités classique. Pour plus d’informations sur les deux expériences Entités, voir Modernized Entités.

View switcher

The modernized Reminders section includes a view switcher that lets you easily change how reminders are displayed. Use the view switcher to toggle between Table view and List view, depending on how you want to review and manage your reminders.

When you open reminders from Dashboard > Tasks and reminders, the system opens Compliance > Reminders in Table view, even if List view was your last selected reminders view.

  • Selecting an urgency category from the widget If you select Overdue, Upcoming, or Future from the dashboard widget, reminders open in Table view with the same urgency category applied and with the My reminders toggle on by default.

  • Selecting See more reminders If you select See more reminders from the Dashboard widget, reminders open in Table view with the My reminders toggle on by default.

  • No reminders in a category If you have no reminders in an urgency category, that category in the Dashboard widget is not selectable.

  • No reminders at all If you have no reminders, See more reminders still opens Table view with the My reminders toggle on by default, and the reminders list is empty.

List view

In list view on the Reminders page, you can use the calendar to filter reminders by a single day or a date range.

Calendar view

  • The date selector displays the month and year of the central calendar. Select it to open the panel and adjust the three-month view.

  • Use the up and down arrows to shift the timeframe, or choose a specific month and year from the grid.

  • Select Confirm to update the calendar and reminder filters, or Cancel to close.

Default date range When you switch from table view to list view:

  • The calendar displays three months: previous, current, and next.

  • The reminders list is filtered to show reminders dated from the first day of the previous month through the last day of the next month.

  • If no reminders exist in this range, all urgency sections appear with 0 reminders.

Filter by a single day To view reminders for one day:

  1. Select a day once to select it (no filter change yet).

  2. Select the same day again to apply the filter.

  3. Select the day again to clear the filter and return to the default three-month range.

If you select a different day, the selection updates, but the filter changes only after you confirm it (by clicking again or selecting a range).

Filter by a date range To filter by a range:

  1. Select a start date.

  2. Select an end date after the start date.

The full range is highlighted. The list updates to show reminders within that range.

  3. To change the range, select a new day and then select a new end date.

Navigate the calendar without changing the filter After selecting a day or range, you can navigate the calendar without affecting the current filter:

  1. Use the year selector to change years.

  2. Use the up arrow to move the three-month window earlier.

  3. Use the down arrow to move the three-month window later.

Your current selection and filter remain unchanged.

If no date is selected, navigating updates both the visible months and the filter.

Calendar highlights The calendar uses consistent visual cues:

  • Hovering highlights a day lightly.

  • Selected days appear with a stronger highlight.

  • Date ranges show emphasized start and end dates, with the interval highlighted in between.

  • In the List view, you can preview a date interval before applying it.

    1. Select a start date in the calendar.

    2. Hover over a later date to preview the range. A dotted border outlines the days included in your selection.

      Note

Hovering over a date before your selection highlights only that day.

These highlights help you quickly see which dates are controlling the reminder filter.

The list view also displays reminders as cards grouped by urgency, such as Overdue, Upcoming, and Future.

Each urgency group appears as a collapsible section and is collapsed by default. Use expand all or collapse all (next to the view switcher) to open or close all groups at once. Within each group, reminders appear in a single scrollable list with no pagination, even when more than 50 reminders are present.

Reminder card details

Each reminder card includes the following information:

  • Name and linked entity, if available.

  • Entity names are selectable and open the entity’s details page, or the Limited access view, depending on your permissions.

  • Description, which wraps to multiple lines when needed.

  • Reminder date and Event date, shown in the global date format. (The Event date is hidden if it has no value.)

  • User, User group, and Event type. (User and User group labels are hidden if no value is assigned.)

  • If at least one entity is attached, a more options menu appears with View entity details, which opens the related entity’s details page.

In the list view, you can filter to My reminders to show only reminders related to you.

When this filter is applied, both the calendar and the reminder cards display only reminders where you are the Created by user or the Assigned to user.

Default sort order in Reminders List view

In Compliance > Reminders > List view, reminders are automatically ordered by Reminder date in ascending order (oldest first).

This matches the order you see in the Table view when you sort the Reminder date column ascending, so both views present reminders in the same chronological sequence.
