Managing subscribers

Important

The Subscribers menu option is available only to partners that are migrated from the BoardDocs Console.

Subscribers are the end-users who benefit from the policies and documents created by partners. They receive access to policy templates, books, and updates provided by the partners. Subscribers depend on this content to guide their operations, ensuring that they stay informed and compliant with relevant policies.

Partners use the Policy Manager tool to save policy templates, make necessary updates, and distribute the policies to their group of subscribers. These partners were previously using BoardDocs and are now migrating to Diligent Community Policy Publisher.

Advantages of moving BoardDocs Console to Policy Manager:

  • Centralized repository and organization Ability to manage and maintain a centralized repository of policies, with enhanced organization of folders for better structure.

  • Flexible review and approval workflows Inclusion of review workflows, and approval processes, ensuring effective policy tracking, internal review, and training before distribution to subscribers.

  • Efficient policy distribution and updates Seamless distribution of new and updated policies to subscribed customers, with the ability to push multiple policy versions, map subscribers, and archive outdated policies.

Add subscribers

  1. From the left menu, go to Administration > Subscribers, then click Add Subscribers.

  2. On the Add Subscriber page, select the Community Site Name from the dropdown list.

  3. From the Policy Folders dropdown, add the book for the selected subscriber. Multiple books can be added where applicable.

    Notes

    • Books are a collection of various policies and documents, organized with folders to categorize specific documents for better structure.

    • When a subscriber is in the Inactive status, you cannot add or remove books. Only subscribers in Active state can be modified.

  4. Ensure the Subscriber Status is set to Active.

  5. Enter the subscriber's contact details in the Contact card. This information can be updated at any time, regardless of the subscriber's status set to Active or Inactive, enabling modifications independent of their account status.

  6. Click Add Subscriber. A confirmation message appears indicating the subscriber has been successfully added.

Edit a subscriber

  1. From the left menu, go to Administration > Subscribers.

  2. Select the subscriber you want to edit from the list by clicking the name or click icon.

  3. On the Edit Subscriber page, you can:

    • Add new books

    • Remove subscribed books

    • Change the subscriber's status

      Note

      The system does not allow the Administrator to change the subscriber status to Inactive if the policy folders have been modified.

    • update the contact information

  4. Click Save Changes to apply the updates.

Activate subscriber

You can activate a subscriber using one of the following options:

Option 1

  1. From the left menu, go to Administration > Subscribers.

  2. On the Subscribers list page, click icon next to the subscriber's name.

  3. In the confirmation window, click Activate and confirm the action. A confirmation message appears indicating the subscriber has been successfully activated.

Option 2

  1. From the left menu, go to Administration > Subscribers.

  2. Select the subscriber you want to activate by clicking the name or click icon.

  3. On the Edit Subscriber page, change the Subscriber Status to Active.

  4. Click Save Changes to apply the change. A confirmation message appears indicating the subscriber has been successfully activated.

Deactivate subscriber

You can deactivate an active subscriber at any time by following the above steps and selecting Deactivate in the confirmation window. You can toggle between activating and deactivating a subscriber at any time.
