Create and view an activity report

All item activity in your personal data room is tracked, including item updates, sent links, and items viewed or downloaded. The activity report can be viewed in an .xlsx format either in the Diligent Data Room Document Viewer or Microsoft 365 Online.

Data Room Managers can generate an activity report on member and item related activity in their team room.

Note

To extract a report in a Team Data room you must be the Data Room Manager.

Create an activity report

  1. In your data room or team room select New > Activity report.

  2. A notification pops up on the toolbar to indicate the report is being prepared. You will be updated you when it's ready.

    An email is also sent to you with a link to the Activity report.

  3. In the pop notification select Go to folder to view the report or OK to view later.

    The system saves the activity report in the _Data room management folder in your files.

    Caution

    • Don't rename the _Data room management folder as it's used to store all activity reports. If you rename the _Data room management folder, the system will create a new _Data room management folder the next time you create an activity report.

    • In team rooms the _Data room management folder is only visible to data room managers.

View an activity report

There are several ways to view your activity report. The report has the same options available as other files such as Download, Move, Send link, Rename, etc.

  1. Go to the Files list in your data room and select _Data room management > Activity reports.

  2. Go to the activity report you want to view:

    1. View in Microsoft 365 Online Select the file's more options icon select Open Excel for the web.

    2. View in Document Viewer Select the title of the report to open in Document Viewer.

    3. Download the file to your device Select the file's check box to activate a tool bar menu and select Download.

Understanding the activity report headings and content

The activity report is a technical report similar to a log file. The content is broken down into column headings and actions.

Column title

Description

Date and Time

The date and time an action took place.

Action

What action took place.

Member email

This is the email address of the person who took the action.

Member name

The name of the person who took the action. This will be the name specified in their profile.

Parent

The name of the folder.

Subject Name

The name of the item or member that was the subject of the action.

Item id

This is the globally unique ID of the file or folder.

Item version

The globally unique ID of the version of the file that you viewed or downloaded. This is only listed for files that have different versions.

Recipient

The recipient email address of a shared file or folder.

Message text

Any message that the sender has sent to the recipient of the shared file or folder.

Additional info Any other details relating to the item.

Useragent

The browser type or technology used to perform the action.

IP address

The IP address assigned to the member listed in the Member name column who performed the action.

Path The path to the item, where relevant.
