Roles, tasks, and permissions for Flows

Members of a Diligent Data Room Organization can be assigned different roles at organization level. For more information, go to Update user roles .

  • Roles help to define what users are allowed to do with regard to Flows and Flow management.

  • Management roles are based on permissions inside the Flow installations.

  • Participant roles define actions for Flow users.

Note

Even though organization-level roles, Flow management roles, and participant roles are separate, they can overlap depending on the configuration of a Flow installation.

Role Tasks, permissions, and dependencies

Organization administrator

Technical name: admin

Organization administrators are responsible for managing accounts, Groups, Team Data rooms, security policies, external identity providers, and Flow installations within an organization.

For security reasons, organization administrators cannot assign roles to themselves. This must be done by another user with the organization administrator role.

Organization administrators can:

  • Add a Flow installation to an organization and specify who can initially configure this Flow installation.

  • Assign roles to other users, for instance the BoardOfficer role.

  • Create groups at organization level and assign users to these groups.

User

Technical name: user

This is the default role at organization level for all users within an organization.

Users can:

  • Receive delivery Flows

  • Deliver documents

  • Review or approve documents

  • Start, manage or co-manage meeting Flows if the Flow installation has been configured accordingly.

  • Some tasks require permissions within a Flow installation. These permissions are usually granted only to selected groups, roles, or users.

BoardOfficer (a technical name and role that can be used for Administrators)

This is a role set at organization level that facilitates assigning permissions within a Flow installation.

  • Organization administrators can assign this role to anyone who will be an Administrators within Flows.

  • This role is selected by default in some permission settings within a Flow installation.

  • Users assigned this role can start or manage meeting Flows.

Flow manager

Flow managers can configure a particular Flow installation. The role is determined by the permission setting Users who can configure this Flow installation.

Flow managers can:

  • Configure Flow installations.

  • Permit other users to configure Flow installations.

Administrator
  • This is the role name for users who collect documents and prepare the materials for the meeting in Secure Meeting Workflow.

  • It is determined by the permission setting Users who can start a Flow with this configuration and Users who can co-manage the meetings.
