Creating and managing an event in a BoardEffect workroom
You can create an event in BoardEffect to include meeting details and related documents. You edit the guest list, add RSVP requirements, and share the event across workrooms to ensure attendees have access to the relevant information.
Create an event

Go to the relevant workroom, and then select Events
.

To create a new event, select +New Event.

On the New Event page, enter a title for the event. You can enter other details such as date and time or location. Required fields are marked with an asterisk.

Select Event Category, and then choose an option from the list that is available for your organization. For example, choose Board Meetings.

Select Attendance Type from the following options:

In Person: For in-person events.

Virtual: For online events.

Hybrid: For both in-person and virtual attendance options for the event. Attendees can select In Person or Virtually when they RSVP to a hybrid event.

To record the responses, select Track RSVPs.

To share the event across every workroom, select Share with all workrooms.
Note
When you share the event with all workrooms, the event details are visible on the home page.

To save the event, select Save.
Edit the guest list
You can edit the guest list to manage access to the event details and meeting materials.

To view events, select the relevant workroom, and then select Events
.

Select the title of an event.

On the Event Details page, scroll down to the Guest List section, and then select the options icon . Choose Edit Guest List on the dropdown menu.

To search for a user, enter their first or last name in the Search field.

To add a user, select the plus icon +.

To remove a user, select the remove icon x.

To make your guest list private, select Private Guest List.

To send a message to the guests, select Message Guests. A Send a message dialog opens where you can create and send a message to the guests.

To save your changes, scroll to the top of the event details edit page, and select Save.
Request an RSVP from the guests
You can plan for an event by requesting an RSVP from each invited participant on the guest list.

To view events, select the relevant workroom, and then select Events
.

Select the title of an event.

On the Event Details page, scroll down to the Guest List section, and then select the options icon . Choose Request Responses on the dropdown menu.

Select Continue on the dialog to confirm that you wish to request responses to the meeting invite.
Copy and move an event
You can duplicate or copy an event, and then move it to a new workroom.

Select the relevant workroom, and then select Events
.

Scroll down to the relevant event, select the options icon, and then select Duplicate. Alternatively, select Duplicate for the relevant event in the My Upcoming Events section on the BoardEffect home page.

On the Edit meeting page, the Title field contains by default the original event name with - Copy at the end. To update the name of the event, simply enter a new name. You can also update the other event details, such as location and description.

To move your event to a new workroom, scroll down and select the workroom on the Move to Workroom menu.

To save your changes, select Save.
Note
When you move an event to a different workroom, you remove the attachments, including the meeting books.
