Add a new data room user

As organizational administrator you can add users to your Secure File Sharing organization. They are sent an invitation email to register in your organization. Each user who accepts an invitation and registers for a data room will utilize a license and get access to their own data room with a designated amount of file storage space.

Secure File Sharing has three types of non-administration users:

  • Organizational users These are licensed users who are registered and associated with one or more organizations. These users get their own data room with a designated amount of storage space where they can upload and manage their files. They can also be members of team data rooms.

  • Collaboration users These are not organizational users, but are licensed users of the team room they have been invited to. They do not have personal data rooms.

  • Guest users These are users who have had a file or folder shared with them by an organizational user. They only have access to the file or folder shared with them.

  1. Go to Administration in the navigation panel to access the Admin dashboard.

  2. Select the Users tab and select Add user from the toolbar.

  3. In the Add user dialog enter the user's email address and select the Enter key on your device.

    You can add more than one user at a time.

  4. The Language will default to your browser.

    You can choose one of nine alternatives from the drop down menu.

  5. Select User as the Role.

    • User is the default role for all personal data rooms.

    • Admin is the Organizational Administrator role, used to provide the user with admin capabilities.

  6. (Optional) Enter a personal message and select Include signature.

  7. Select OK.

    Tip

    The recipient will be sent an invitation email to join the organization. They will show as Invited in the Status column of your dashboard until they register for a data room.

    A user who is Invited can be re-invited or have the invitation withdrawn.

Re-invite a user

Should someone lose or not receive an invitation email they can be re-invited.

  1. Select the more options icon for the user.

  2. Select Re-invite.

    An invitation email will be sent to the recipient.

Withdraw an invitation

  1. Select the more options icon for the user.

  2. Select Withdraw invitation.

    The recipient will no longer be able to access the link previously sent to them.
