Adding a user

Invite existing Diligent One Platform users to new or additional instances.

By default, an automatic email notification is sent without requiring the user to sign in. However, using the new Users page, you can opt to prevent the invitation email from being sent when the user is created, and then manually send the invitation later when you’re ready. For more information, see Manage users (new UI).

Permissions

Only System Admins can individually add users to Diligent One Platform.

Manage users (Classic)

  1. Open the Platform home page (www.diligentoneplatform.com).

    Note

    • If your company uses more than one organization in Diligent One Platform, make sure the appropriate organization is active.

    • Diligent One Platform also supports the domain www.highbond.com. For more information, see Supported domains.

  2. Select Platform Settings > Users. This opens the Manage users page.

    If you do not see Users as an option, the account you used to sign in does not have Admin privileges.

  3. Click + Add user. The Invite new user window opens.
  4. In the Invite new user window, enter the details as described in the following table:

    First Name

    Enter the first name of the user.

    The character limit is 40.

    Last Name

    Enter the last name of the user.

    The character limit is 40.

    E-mail

    Enter the email address of the user.

    The character limit is 60. Email addresses can include apostrophes.

    Note

    Diligent One Platform does not support email addresses with accents or non-Latin characters.

    To change an existing user's email address, contact Support.

    Role

    optional

    Select the user's Diligent One system-wide user type (Diligent One Platform user type).

    There is no limit on how many users can be System Admins for an instance. For more information, see System-wide user types and group roles.

    Subscription

    optional

    Select the user's subscription.

    Subscriptions define the role(s) a user can be assigned in each Diligent One app. For more information, see Managing licenses and subscription permissions.

    Reports Role

    optional

    Select the user's Reports access.

    For more information on roles in Reports, see Reports app permissions.

    Note

    The Diligent One Platform database is not synced with the Reports app. Users must open Reports once before they can be assigned access to reports, dashboards, and storyboards.

  5. Click Send invitation.

    The user is added to Diligent One Platform, and to the currently active instance, with the default role of User. An automatic email notification is sent to the user.

  6. Optional. To update the user's assigned Diligent One system-wide user type (Diligent One Platform user type), subscription, or Reports access, hover your mouse over the appropriate value, click Edit , and use the dropdown lists. Diligent One automatically saves your changes.
    Note

    The default Reports access is No Access.

  7. Optional. To add more users to the same instance, repeat steps 4 to 7.
  8. Optional. To add users to a different instance, select a different instance and repeat steps 2 to 6.

Manage users (new UI)

  1. Open the Platform home page (www.diligentoneplatform.com).

  2. Select Platform Settings > Users.

  3. On the Manage users page, select Try the new user management UI, which appears on the right side of the page.

  4. On the Users page that opens, select + Add user.

  5. In the Add user panel, enter the details as described in the following table:

    Field Description
    First Name

    Enter the first name of the user.

    The character limit is 40.

    Last Name

    Enter the last name of the user.

    The character limit is 40.

    E-mail

    Enter the email address of the user.

    The character limit is 60. Email addresses can include apostrophes.

    Note

    Diligent One Platform does not support email addresses with accents or non-Latin characters.

    To change an existing user's email address, contact Support.
    User type Select the user type from the drop down list.
    Do not send invitation email

    Select this checkbox if you want to delay sending the invitation email until a later time.

  6. Select + Add user.
