Record an Appointment

You can record appointments in the company record under Appointments.

  1. In the company record, go to Appointments and select Wizards > Appoint.

    Alternatively, you can select Appoint on the Current Appointments page. Both options open the single-page wizard. If you'd prefer to record the appointment through multiple pages, select Wizards > Multi-Page Wizards > Appoint.

  2. In the Appoint wizard that displays, enter the name of the individual in the Begins with or Contains field and select Search to find their record.

    Note

    Whether a certain user sees the Begins with or the Contains field for searching depends on their user preferences. Refer to Change User Preferences to learn more.

    If the individual to be appointed doesn't have a record in Diligent Entities yet, select New and create a record for the individual.

  3. Select the individual from the search results and select Next.

    The selected individual is now listed in the Appoint wizard.

  4. (Optional) In the Board Meeting section of the wizard, enter the date of the board meeting where the decision was made to appoint this individual.

  5. In the Date and Position section, enter the event date of the appointment and select the position the individual is to be appointed to.

    Any positions the individual already holds are selected and disabled.

  6. Make sure the Consent to act given for appointment(s) option is selected where applicable.

    If you are appointing officers or members to a UK-based company, the Consent to act given for appointment(s) option is a mandatory field and must be selected if the appointment form is to be sent to Companies House. Without consent being indicated here, the form will be rejected.

  7. In the Notes section, enter any relevant notes and indicate whether the notes should appear on the statutory registers by selecting the relevant option. Select Next.

  8. On the Action page, select the appropriate action. Select Next.

    For users entering appointment details for UK entities it is recommended to select Save as pending, then validate event for current appointments and Validate event, then update all records immediately for historical appointments.

  9. On the Documents page, select the documents to be produced, then select Next.

    The Finish page displays. The Finish page confirms the completion of the appointment and document production where applicable.

    Note

    Documents produced are stored in Working Documents. If the event was saved as pending, it needs to be actioned. It is located in the Pending Events section under Compliance.

  10. Select Finish to complete the wizard.

    The appointment is now listed on the Current Appointments page.
