Add Personal Public Service Number and Contact Email
You can add the Personal Public Service (PPS) number or verified number and the contact email for related queries in the individual record.
The Companies Registration Office (CRO) requires directors to have a PPS number or verified number submitted when e-filing A1, B1, and B10 forms. The PPS number or verified number is optional for secretaries, but if it is recorded for the secretary in Diligent Entities, the information is sent to the CRO when forms are e-filed. You can also optionally record a contact email for the CRO to use for PPS number-related queries.
Important
Due to data protection reasons, if there is an issue with the PPS number or verified number, the CRO does not send information to Diligent Entities about whose number is causing the issue specifically. The application can only indicate that there was an issue with an individual's PPS number or verified number on the form and therefore the form was returned or rejected. Therefore, it is recommended to record the contact email of the individual in the CRO PPSN Contact Email user-defined field so that CRO can reach out to the individual directly and sort out any issues that may arise around these numbers.
To record the PPS number or verified number and a contact email for PPS-related queries:
-
Make sure the required user-defined fields are visible.
Go to System Tools > User-Defined Fields and select the Individuals Only tab. Check if the following items are set to visible:
-
SYS_PPSNO - Personal Public Service (PPS) Number
-
SYS_PPSNOEML - CRO Contact Email for PPSN or Verified Number Queries
Refer to User-Defined Fields (UDFs) to learn how to change the visibility of user-defined fields.
-
-
Go to All Searches > Individuals and find the record of the director or secretary you want to add the PPS number for and open it.
- On the Individual Details page, select Edit.
-
Add the PPS number or verified number in the Personal Public Service (PPS) Number field in the Personal section, then save your changes.
Note
If an individual has both a PPS number and a verified number, make sure to record the PPS number in the individual record.
-
To add a contact email, select Wizards > Change Particulars Wizard on the Individual Details page.
-
On the New Particulars page of the Change Particulars Wizard, select Email from the list in Other Change.
As a result, a new field displays.
-
In the new field that displays, select CRO PPSN Contact Email from the list.
-
Enter the contact email in the New Value field and complete the wizard.
As a result, when you e-file A1, B1, and B10 forms, Diligent Entities sends the PPS number or verified number and the contact email you entered to the CRO. Diligent Entities determines whether the number you entered in the Personal Public Service (PPS) Number field is a PPS number or a verified umber based on the format and send the information to CRO accordingly.
