CRO Electronic Filing Statuses

Learn more about the different e-filing statuses that you may come across when e-filing forms to the Companies Registration Office (CRO) in Ireland.

Status Description

Awaiting Signature Upload

The document signature pages have been downloaded and CRO is waiting for the signed pages to be uploaded.

Note

This is a Diligent-specific status, you can't find it in the CORE system.

Complete

After payment is made to the CRO, the submission status changes to Complete. Once the system recognises payment has been received, the status of the submission is changed to Submitted and a submission reference number and download receipt link is available.

Message Failed

The document has failed submission. Open the document and find the Message field to learn what error occurred and decide what action to take. Recreate the document from the pending event and try to e-file it again. Refer to Recreate a Document from a Pending Event to learn more.

When the submission reference number or EF Doc. No. is missing for the form, the Reset EF Message option is available. Use this option to open the Reset Irish E-Filing Message Submission wizard where you can enter the submission reference number manually to reinstate the link between the form in the CORE system and the corresponding form in Diligent Entities.

Message Received

Users can see this status when doing a company data download or when downloading the following documents:

  • Electronic Filing Submission Review (EFSUBREVIEW)

  • Electronic Filing Submission Signature (EFDNLDSUBSG)

  • Electronic Filing Submission (EFSUBFULL)

The Electronic Filing Submission Review (EFSUBREVIEW) and Electronic Filing Submission Signature (EFDNLDSUBSGN) submission documents can be requested when a message is in Pending Signature status.

The Electronic Filing Submission (EFSUBFUL) can be downloaded when the e-filing status is:

  • Pending Signature
  • Submitted
  • Returned
  • Resubmitted
  • Registered
  • Rejected
  • Cancelled

The Electronic Filing Submission shows what was submitted and the signature page in one PDF.

The Message Received status also occurs when a signature page has finished uploading. This is the final status for an uploaded document.

Pending Payment

The document has been submitted pending payment.

It is unusual to get this status in Diligent Entities as for forms that have been fully signed payment is automatically deducted. If, however, clients submit a B1 or A1 form through Diligent Entities and do signatory upload through the CRO CORE portal and select Proceed to Payment, the document may end up in Pending Payment status. This situation may require intervention by CRO to resolve if the status doesn't move on.

Pending Signature

The document has been submitted and is pending signature. The next steps depend on whether the form is to be signed digitally or on paper. If the form requires a digital signature, use the link in Message Remarks in the Document Details. If paper signature is required, Request a Signature Page. Once the form has been signed, the status shows Submitted.

When the submission reference number or EF Doc. No. is missing for the form, the Reset EF Message option is available. Use this option to open the Reset Irish E-Filing Message Submission wizard where you can enter the submission reference number manually to reinstate the link between the form in the CORE system and the corresponding form in Diligent Entities.

Registered

If a submitted form is registered, it has been reviewed and accepted by the CRO.

Rejected

If a submitted form is rejected, presenters are notified and a new form must be created, signed, and submitted for processing to the CRO. Reasons for any returned or rejected forms can be viewed in the Message field on the Document Details page. Refer to Recreate a Document from a Pending Event.

Note

Due to data protection reasons, if there is an issue with the PPS number or VIF number, the CRO does not send information to Diligent Entities about whose number is causing the issue specifically. The application can only indicate that there was an issue with an individual's PPS number or VIF number on the form and therefore the form was returned or rejected. Therefore, it is recommended to record the contact email of the individual in the CRO PPSN Contact Email user-defined field so that CRO can reach out to the individual directly and sort out any issues that may arise around these numbers. Re-Submitted

If a B1 or A1 form has been returned by the CRO, it is possible to produce a new instance of the affected form and submit it. It is treated as a resubmission and is not be subject to an additional fee payment.

Returned

If a submitted form is returned, errors and omissions have been identified. These need to be rectified before the form can be resubmitted for processing. Diligent Entities supports the resubmissions of B1s and A1s to the CRO. Other forms can be regenerated and refiled under a new submission number.

Note

Submission Not Found

The system has tried to find the submission in the CORE system, but has repeatedly failed. After a certain number of attempts the status of the form becomes Submission Not Found.

If you see forms in Diligent Entities with Submission Not Found status that you can see in CORE as submitted, use the Reset EF Message option to request an update on its status from CRO. In the Reset Irish E-Filing Message Submission wizard that displays after you select this option, you can enter the submission reference number if it is missing to reinstate the link between the form in the CORE system and the corresponding form in Diligent Entities.

Submitted

The document has been fully submitted awaiting approval by the CRO.

For forms in this status, use the Check for EF Status Update option to get a status update for a single form.

Verification Errors

The document has failed verification. Open the document and find the Message field to learn more. Make the required changes, recreate the document from the pending event and e-file it again. Refer to Recreate a Document from a Pending Event to learn more.

Verified & Queued

The document has passed verification checks and is queued ready for submission. Use the Send and Receive option to send it to the CRO.
