Meeting Planner: Meeting Templates

You can use the Meeting Templates option to create meeting scheduling templates that hold prepopulated fields for meeting details, participants and agenda items. New templates can be quickly created, and existing templates can be edited or deleted in the Meeting Templates Manager.

The Meeting Templates option must be added to your user role rights in System Settings > System Security > User Roles > Meeting Planner in order for you to able to use this option.

To open Meeting Templates:

  • Select Meeting Planner MeetingPlanner_icon in the Navigation Bar on the home page. A submenu of the Meeting Planner options displays.
  • Select Meeting Templates. A list of currently available templates display.

When you access this option for the first time, there will be no templates available by default. To get started, you must first create and add a meeting template.

Add New Meeting Template

To add a new meeting template:

  • Select Add at the top of Meeting Templates panel. The Add Template dialogue displays with the meeting template page.
  • The meeting template page consists of three sections:

Details

Participants

Agenda

Note

The only mandatory field is Template Name in the Details section.

  • When finished, select Save to save your template for future use.

Edit, Delete or Search Meeting Templates

To edit or delete existing templates:

  • Select Options Options_icon next to the relevant template. Two options display:
    • Edit: Make changes to an existing template in the meeting template dialogue that now displays.

    • Delete: Delete template from the list of available templates.

  • Search for the template you want to open by typing the name of the template in the Search field.

Create Meeting Using a Meeting Template

  1. Select Meeting Planner in the Navigation Bar, then select the Scheduler option.

    The Scheduler dialogue displays.

  2. Select Add in the upper right of the dialogue.

    Two options display:

    • New Meeting: Create a new meeting.
    • From Template: Create a meeting using a template.
  3. Select From Template option.

    The Use Template dialogue displays.

  4. Select the template you want to use from the dropdown list of meeting templates.

  5. Select any or all three sections that you would like to copy from the template you have just picked:

    • Meeting details
    • Participants
    • Agenda items
  6. Select Next at the bottom of the dialogue to be taken to the meeting details section.

    Alternatively, select Cancel if you want to cancel creating the meeting and using the template.

  7. Enter information that might be still missing in the mandatory fields under Details, Participants, Agenda (depending on your selection in the previous step for template sections to copy) as well as any other information that you might need for the meeting.

  8. When finished, select Save.
