Meeting Planner: Reports

The reports options in Meeting Planner allow you to create and run quick reports on all the meetings scheduled in Meeting Planner. You can thus have an overview of workflow and an audit trail of agenda items and related policy changes.

In Meeting Planner Reports, you can quickly search, group or edit all meetings and agenda items based on the available filters in each report type. Meeting Planner holds two types of quick reports:

  • Meetings

  • Agendas

Note

In order to have access to Meeting Planner, your system administrator must enable user permissions for you in System Tools > System Security > User Roles > User Role Rights. To learn more about Meeting Planner, refer to Meeting Planner: Introduction.

Note

Meetings and Agendas Reports are only available to users who are either the Organiser or Alternative Organiser of the meeting for which the report is being created. Users who are added as Participants to a meeting cannot view or create reports on those meetings in this section.

Meetings Report

To start using Meetings Report, open Meeting Planner in the Navigation Bar on the home page and select Meetings.

A reports page displays showing a list of all meetings that have already been created. Here, you can:

  • Filter or search for meetings by using the filter options available in the menu.

  • Group meetings by the relevant columns displayed. For example, Meeting type.

  • Preview or edit the relevant meetings.

  • Export the report in .XLSX file format or share a link to the report with another Diligent Entities user.

The Columns button in the top right of the Meetings reports page shows in brackets the number of columns or filters that are available to organise, filter and sort meeting details. You can drag columns within the reports page to create a custom view of meeting information as needed. You can sort the results in increasing or decreasing order in each column by clicking inside the field for the column header.

Under Actions, you can find the Export as Excel option to allow you to export the Meeting details report as an Excel file.

Agendas Report

To start using Agendas Report, open Meeting Planner in the Navigation Bar on the home page and select Agendas.

A reports page displays showing a list of all agenda topics that have already been created. Here, you can:

  • Filter or search for agendas by using the filter options available in the menu.

    Note

    You cannot filter agendas for Transfer History and Notes, which are two columns that are populated when agendas get forwarded in Diligent Entities.

  • Group the agenda topics by the relevant columns displayed. For example, agenda topic or name.

  • Preview or edit the relevant meetings.

  • Export the report in .XLSX file format or share a link to the report with another Diligent Entities user.

The Columns button in the top right of the Agendas reports page shows in brackets the number of columns or filters that are available to organise and sort meeting details. You can drag columns within the reports page to create a custom view of agenda items information as needed. You can sort the results in increasing or decreasing order by clicking inside the field for the column header in all columns with the exception of Notes and Transfer History. These two fields are populated when you forward agenda items and cannot be sorted or filtered in Agendas Reports.

Under Actions, you can find the Export as Excel option to allow you to export the Meeting details report as an Excel file.
