Editing an issue

The Edit issue feature allows you to modify issue details at different stages of the workflow, while maintaining access control and audit tracking. You can use it to:

  • Update issue details.

  • Auto save changes without assigning an issue.

  • Save and assign an issue to the next workflow stage.

To edit an issue:

  1. From the Platform home page (www.diligentoneplatform.com), select the Issue Manager app to open it.

    If you are already in Diligent One, you can use the left-hand navigation menu to switch to the Issue Manager app.

  2. From the Issue list, select the issue you want to edit. It consists of the following attributes:

    Details

    Displays all the details related to an issue for the following fields:

    Note

    The details tab fields vary based on the issue type selected.

    General: It consists of the following attributes:

    • Created by: The name of the person who have created the issue.

    • Created at: The date and time when the issue was created.

    • Name: The name of the issue creator.

    • Target remediation date: Indicates the deadline for resolving the issue. You can apply a date filter to view issues due within a specific time range. This field also adheres to the system’s configured time zone.

    • Severity:Displays the impact level of the issue. Available severity levels include:

      • 1 - Very low

      • 2 - Low

      • 3 - Medium

      • 4 - High

      • 5 - Very high

    • Actual remediation date:It indicates the date when the issue was closed.

    • Related Org unit: Specify the individuals, teams, applications, or systems affected by the issue. Use keywords or identifiers to filter and select related org unit.

    Assignees: It consists of the following attributes:

    • Approver: Select the issue approver's name.

    • Owner: Select the user assigned by the parent type or type. If you assign yourself, you become the Issue manager.

    • Watchers: Watchers can monitor the issue, see updates and comments, and add their own comments, but cannot edit issue fields, assign ownership, or change issue statuses.

    • Classification: It identifies the nature of the audit issue. It can be a recommendation or deficiency.

    Analysis: It consists of the following attributes:

    • Description: The description of the issue.

    • Impact: The impact of the issue created.

    • Documents: Provides an option to upload your document.

    • Root cause: It identifies in detail why the issue occurred.

    • Recommendations: It defines the auditor’s suggested actions to address the issue.

    • Include in audit report: It defines whether the issue should be included in a published, exported version of audit report or not.

    Remediation: It consists of the following attributes:

    • Management response: It captures management’s formal response to the issue. Includes acknowledgment, agreement, or disagreement with the finding, rationale, and high-level commitment to remediation.

    • Resolution: It documents how the issue was ultimately resolved and validated.

    Actions

    Provides the option to select the workflow of the issue. There are two types of workflows: Parallel workflow and Sequential workflow.

    You can add multiple actions workflow.

    • Parallel workflow: All actions become open at the same time upon initiation. This is useful when multiple actions can be handled simultaneously.

    • Sequential workflow: Actions are carried out in sequence. Each action becomes active only after the previous one is completed, ensuring a structured flow of work. If the issue is initiated but the next action is not yet open, its status is shown as Pending.

    Relationships

    Provides the option to select Add Relationship and then choose the following from the dropdown:

    Timeline
    • It includes an activity timeline that displays all updates and actions performed on the issue.

    • It provides a chronological record of all activities, updates, and comments related to the issue.

    • It enables you to add comments, status updates, or clarifications.

    • It enables you to attach files in the timeline to support the information provided or request any missing details.

    • Select the Send button to post the update to the time line after you have added any messages or attachments.

  3. Select Submit to modify an issue.

Note

  • Issue reporter can edit the issue only when it is in the DRAFT status.

  • Issue owner can edit the issue when the it is in REMEDIATION PLANNING, IN REMEDIATION, or TO BE APPROVED status.

  • Type Manager can edit in all statuses except CLOSED and DISCARDED.
