Manage agenda items

You can view and manage pending agenda items on the Agenda Builder. Pending agenda items have not been approved by the approval group, so they are not included on the meeting agenda or minutes. A border is visible around pending agenda items.

You can also view details about the agenda item, including who submitted it and who needs to review it. This section describes how to identify pending agenda items on the Agenda Builder, and the actions you can take to approve it.

Note

If you have purchased Community Essentials, you can't view the pending approvals.

  1. To open the Agenda Builder, go to the Meeting details page, then select Edit.

  2. The Edit agenda page opens. Move down the page to view each agenda item. A border displays around pending agenda items that were submitted by staff or members and need to be approved.

  3. You can view details about each pending agenda item. For example, you can see from whom in the approval group you are awaiting approval.

  4. You can also see who submitted the agenda item and when they submitted it.

  5. The agenda item description is visible.

  6. You can also see the recommended action.

  7. To open the agenda item, select options , then select Open item.

  8. If you’re not a member of the approval group, you’ll be taken to the Edit agenda item page, where you can manage its progress. To learn more, see Edit agenda items.

  9. If you’re a member of the approval group, and you have not reviewed the agenda item, you’ll be taken to the Approve agenda item page.

  10. To approve the agenda item, select Approve. After the entire approval group approves the agenda item, it is added to the meeting agenda and minutes. Also, the border is no longer be visible on the Agenda Builder.

  11. To reject the agenda item, select Reject. If one or more members of the approval group rejects the agenda item, the agenda item is removed from the meeting agenda and minutes. It does not appear on the Agenda Builder either.

  12. After every pending agenda item is approved you can share the agenda with members and admins.

  13. You can also publish the agenda so it’s available to the public.

    If the meeting agenda still contains pending agenda items, you will not be able to publish it. See Publish agenda with pending items for more information.
