Data room collaboration

Data rooms facilitate efficient collaboration with colleagues. Your Administrator (Org Admin) creates data rooms, and your permissions and assigned groups dictate the level of access you have to items within each room.

When you join a data room, you'll use a data room license. With this license you can be a member of multiple team rooms at the same time.

  • Data Room Managers are assigned by the Org Admin when the room is created. They invite new members, manage permissions, and manage access to items in a data room. For more information on Data Room management, go to Data Rooms

    Important

    To avoid data loss and ensure continuity, a minimum of two Data Room Managers should be assigned to any data room.

  • Permissions in can be set at either group or item level, and they dictate the actions a member can take.

  • Groups in data rooms refer to a selection of members who share the same permissions.

Navigation panel

Only data rooms that you manage or are a member of will appear in the Data Room section in the navigation bar.

  • Files: View folders and documents shared in the data room. Permissions assigned to members, groups, and documents will dictate the level of access.

  • Deleted items: View documents and folders that have been deleted but not yet destroyed. This is similar to the Deleted items folder in your Private Workspace, although your ability to Destroy or Restore an item will depend on your permissions in the data room.

  • Insights: Access and monitor activity in your data room. Only available to Data Room Managers.

  • Members and groups: View or manage members of a data room and assign permissions and groups. This is where Data Room Managers add and edit members and groups.

  • Policies: Assign data room level security settings. Only accessible to Data Room Managers.

  • Custom watermark: Assign data room level custom watermarks to the default watermark. Only accessible to Data Room Managers.
