Define a Signatory for a Single Form
After you generated the forms you want to file electronically, you must define signatories before attempting to file them.
You must define a signatory in Diligent Entities for most forms. Even though some forms require two signatures, only one signatory can be defined in Diligent Entities. You can't define a signatory for PDF accounts you submit using data libraries. The signatory you define is the certifier of the form, that is, they sign the form in the Certification section.
You have the following options to define a signatory for a form:
-
Use the Sign Document wizard to define a signatory for a form you already generated
-
Enable Signatory Page in Event Wizards and define the signatory while completing the event wizard
-
Define a Signatory for Multiple Forms if all forms need to be signed by the same signatory
-
Set up the system to Define a Signatory Automatically
-
Set up a Default Signatory if you want to override the default behavior implemented for automatic signing
To select an individual to sign a form with the Sign Document wizard:
-
Open the company record and select Documents > Working Documents.
-
Find the required form and select Open
.
-
On the Document Details page, select Other Options > Sign Document.
The Sign Document wizard displays.
-
On the Signatory page of the wizard, find and select the individual who is authorised to sign on behalf of the company and select Next.
If the signatory does not have a record in Diligent Entities yet, select New to add them.
Forms can also be signed by an electronic filing agent (EFA). However, EFAs can only sign forms digitally using ROS. Where the form is signed by a corporate EFA, the signatory selected during the Diligent Entities signature process can't be the corporate entity. Instead, an individual who signs on behalf of the EFA using their ROS certificate must be selected as signatory.
-
On the Signing Details page of the wizard, enter the signing date and select the capacity in which the authorised individual is signing the form.
-
Select Finish to complete the wizard.
On the Document Details page, the Signatory Details section is now updated with the new signatory information.
What's next?
For forms prepared for e-filing, signatory details can be changed at any stage until the point of e-filing. If you need to change the form's current signatory, go to either the Signatory screen or complete the Sign Document wizard for the required form, and select a different signatory.
Once the form has been signed, it is ready to be e-filed. Refer to E-file Forms to CRO Ireland to learn more.
