Overview

Diligent Data Room is an Enterprise File Sync and Share (EFSS) solution that provides an enhanced security ecosystem for storing and sharing highly sensitive materials, mitigating the risk of data leakage, human error, or attack. Our shielding technology guarantees that even IT administrators within your organization cannot access the content of any data room unless explicitly granted permissions. Additionally, Diligent staff members have no access.

Files and folders can be securely uploaded, edited, managed and shared all within the confines of your data room. Content can be safely shared outside your organisation by applying strict permissions and adding watermarks to ensure traceability.

Here are some of the essential elements that define our product:

  • Secure file storage and sharing Securely store data, and electronically share files, making collaboration and delivery of large sensitive documents seamless. Configurable access controls enable you to set parameters on exchanges and data workflows.

  • Team collaboration Collaborate on shared files with members of a Data Room. Access permissions can be tailored to groups, individuals, or specific items within the room.

  • MO365 integration Edit, and refine your documents in real-time, leveraging the powerful features of MO365 to streamline your workflow.

  • Secure Meeting Workflow Ensure documents are protected from their earliest stages until delivery to the board by leveraging the Flows add-on. Flows is aligned to meeting groups in Boards so an administrator can automate the steps involved in organizing a meeting.

General information

Your Organization Administrator (Org Admin) is responsible for inviting new users and creating a collaboration data room. When you have met the prerequisites for setting up Diligent Data Room you are ready start uploading files, creating folders, and collaborating.

  • Private Workspace Personal file storage and management space. As a registered user with an organization, you are assigned storage space of your own.

  • Data room Space to securely collaborate with multiple users, preparing and managing files and folders. Space is assigned by the Org Admin.

Note

  • Although the Org Admin creates users and their space, they can not access the content unless they are a member of a data room or have files or folders shared with them.

  • Diligent staff don't have access to this data either.

Prerequisites

  • Register your Diligent Data Room account and sign in.

  • The following browsers are supported:

    • Edge version 38 or newer

    • Chrome version 56 or newer

    • Firefox version 52 or newer

    • Safari version 10 or newer

    • Note

    The browser must support HTML5, and HTTPS protocol is mandatory to ensure that the server URL can be reached.

Good to know

Organization is the term used to describe administrative and functional components that host data rooms.

  • Companies can have more than one organization.

  • Diligent Data Room licenses and storage space are issued to account holders (members) who may be part of more than one organization.

  • Each organization has a dedicated Org Admin who manages high level aspects of the organization’s file storage space and its members.
