Enable Email Notifications for Electronic Filing
Complete these steps to set up email notifications for electronic filing for self-hosted clients.
Before you start
To stay up to date about what is happening with e-filed documents, first ensure that the Automatic notification of received messages and the Record all processing stages options are enabled in the electronic filing profile. For more information refer to the e-filing section for your jurisdiction.
Once those options are enabled, if self-hosted, your IT department must activate email notifications through SMTP (Microsoft) or SMTP (Dart, a third-party component) in the desktop version of Diligent Entities.
Note
If you are hosted by Diligent, email entitiesupport@diligent.com to request the Technical Support Team to enable email notifications for you.
-
Navigate to Tools > System Setup > Computer Setup > Electronic Filing.
The Computer Setup wizard displays.
-
Select the EFiling tab.
-
If POP3 is the required mail method for electronic filing notifications, select either the Microsoft SMTP or the Dart SMTP option from the Mail Method dropdown menu.
The page updates to display fields relating to the option selected.
-
Enter the required information into the fields provided, for example, the appropriate authentication details depending on your environment.
Note
If no authentication is required on a particular mailbox, only fill out SMTP Server, Sender Email, and Sender Name.
The Body Encoding and Attachment Encoding fields can be left as Default.
-
With the relevant fields populated, select OK.
The wizard closes and the setup process for electronic filing notifications is completed.
Any submissions linked to the electronic filing profile with electronic filing notifications enabled automatically send an email if there is a change in electronic filing status. The email is sent to both the Managed By email address of the entity and the contact email address for the user e-filing the form.
