Set Up Electronic Filing for Australia
It is possible to set up Diligent Entities to electronically file forms to the Australian Securities and Investment Commission (ASIC).
For information on what forms you can lodge using ASIC's EDGE system, visit ASIC's website.
To get started with electronic filing with ASIC:
-
Apply to become a registered agent with ASIC and register for ASIC's online services.
When you're set up, you have a registered agent number, an EDGE account number, and an EDGE account password that you can use to configure Diligent Entities to connect to ASIC's services. For more information visit ASIC's website.
-
Make the ASIC Registered Agent Number field visible.
Refer to User-Defined Fields (UDFs) to learn how to change the visibility of user-defined fields.
Tip
Make the AU_EFHDR - Australia (Electronic Filing) user-defined field visible to have e-filing related data under a separate heading in the entity details.
-
Appoint the registered agent to all companies you want to do electronic filing for.
The registered agent must have a record in Diligent Entities. The registered agent must have the ASIC Registered Agent Number and a registered office address added to their record.
If you have registered for the EDGE services as a company, that is, with your holding company name, you first need to make sure the company is in Diligent Entities. If the company is part of a group and is acting as an agent for itself, it is recommended to create it as an other entity in the system. This other entity record then must be appointed to the company record. For more information refer to Create an other entity and Appointments. If the registered agent for your company is an individual, create an individual record. For more information refer to Create an individual.
-
Make sure Diligent Entities is configured for electronic filing and data download.
Go to System Tools > Licence, find the Electronic Filing and Data Download options and ensure they are selected. For electronic incorporations, make sure the Electronic Incorporations option is selected and incorporation licences are available.
Note
If an electronic filing licence has been purchased but the option is not selected, contact the Diligent Support Team to enable it. If the licence has not been purchased, contact your Customer Success Manager to acquire one.
-
Make sure users are set up for e-filing and they have a valid email address recorded.
Ensure that the Electronic Filing (Australia) option in the Electronic Filing section of user role rights is enabled for their user role.
If it is necessary to manually send and receive messages to and from ASIC, make sure the Send & Receive Electronic Filing option in the Other Events section is also selected for the users. Refer to User Role Rights for more information.
Note
Hosted clients can verify whether automatic send and receive has been enabled by contacting the Diligent Support Team. Self-hosted clients can contact the Diligent Support Team for guidance on how to check or enable this option.
For more information on how to add an email address to users, refer to Change User Preferences.
-
Enable the electronic filing profile for Australia.
You can set up one electronic-filing profile that applies to all users and you can also set up user-specific e-filing profiles. Refer to Enable the Electronic Filing Profile for Australia and Set up User-Specific E-Filing Profiles for more information.
Important
EDGE electronic submissions from Diligent Entities are sent through the 5610 port. Some firewalls may block this port by default. System administrators must allow outbound communication on the 5610 port.
-
Update relevant individuals whose information may be submitted electronically.
If the person was born in Australia, enter the abbreviated Australian state in the Place of Birth (State or Country) field. If born outside Australia, enter the full name of the country as per ISO-3166 in the Place of Birth (State or Country) field. There are no requirements for the Place of Birth (Town or City) field, but it must filled. For more information refer to Individual details.
-
(Optional) Download company data from ASIC's system.
You can download company records available in EDGE to Diligent Entities. Refer to Download Company Data from ASIC for more information.
You can also compare the data you have in Entities against what is available in the EDGE system. Refer to Download a Comparison Report from ASIC to learn more.
