Set up User-Specific E-Filing Profiles
Administrators can create user-specific profiles in Diligent Entities for the different user accounts users have with the online electronic filing services.
Multiple electronic filing profiles are supported in the following jurisdictions:
- Australia
- Ireland
- United Kingdom
If multiple users have accounts with the online electronic filing services such as the CRO or Companies House, you can set up user-specific e-filing profiles for each account so that the team members don't interfere with each others' submissions. Such user-specific e-filing profiles can be assigned to a specific user or a specific entity in the Electronic Filing Profile data library. This data library overrides the default electronic filing profile.
The table below shows the priority the system applies when searching for a profile override.
Order | Company QuickRef in Data Library | Data Library Assigned To |
---|---|---|
1 |
|
|
2 |
|
|
3 |
|
|
If multiple data library records meet the criteria for a submission, the system uses the first record that matches the highest ranked option.
Note
Profile overrides are not allowed when requesting submission documents, that is, review or signature pages because submission documents must use the same profile, that is, the same credentials that the original submission used for sending.
-
Go to System Tools > List Manager > Electronic Filing Profiles.
System Tools are available to users with administrator privileges.
-
Find the relevant electronic filing profile in the list and select Options
and then Clone.
For example, for Ireland, find the EFIE7 - IE RegSys API Filing profile.
-
Complete the wizard.
Make sure to provide user-specific details in the profile. For more information about how to complete the wizard, refer to the topic relevant to your jurisdiction:
-
Go to Data Library > Internal > Electronic Filing Profile and select New.
The New: Electronic Filing Profile page displays.
-
(Optional) In the Electronic Profile For section, use the wand to add the company the profile is for.
Select a company here if you want the electronic filing profile to be applied to a specific company. You can also leave this section empty and only assign the electronic profile to a user by selecting the user in the Assigned To field in the Summary section.
-
In the Summary section, set the status to active and specify the user the data library applies to.
- In the Electronic Filing Profile section, select the relevant option for Electronic Filing Country and select the profile you just cloned for Electronic Filing Profile.
For Electronic Filing Country choose the following:
- Australia for e-filing in Australia
- IE (RegSys API) for e-filing in Ireland
- UK (XML Filing) for e-filing in the United Kingdom
-
Select Save to create the data library.
What's next?
Once you have completed setting up Diligent Entities for electronic filing in your jurisdiction, users can start to generate and e-file forms.
