Create a PowerPoint Export
In Group Structure Visualisation, you can export group structure charts and sub-charts into a Microsoft PowerPoint presentation that you can download to your local drive.
Note
The Export as PowerPoint option is available to clients with a Professional or Enterprise package. Contact your Customer Success Manager to learn more.
The option to export the chart into a Microsoft PowerPoint presentation means you don't have to apply edit rules or conditional formatting in Group Structure Visualisation. You can customise the chart in Microsoft PowerPoint as needed, for example, you can manually adjust the space between entity boxes for a better layout. You can also remove or add certain entities to plan future scenarios or to comply with regulatory requirements that you can't set up in Diligent Entities.
-
Run a group structure and select Visualisation.
Refer to Run a group structure to learn more about how to run a group structure.
-
(Optional) Manipulate the chart as required.
You can use filters, groups, define what information displays in the entity boxes and even what the boxes look like. Refer to the relevant topics to learn more.
-
Select Export
.
-
Select the Export as PowerPoint option.
The Export as PowerPoint presentation dialogue displays.
-
In the Export as PowerPoint presentation dialogue, select the chart and sub-charts to be exported.
The selected charts are exported into a single file where each chart is output to a separate slide. The numbers in brackets next to the name of the chart show the number of visible entities and the number of total entities in the given chart.
Note
The maximum number of visible entities in a chart or sub-chart can be 250. If a chart or sub-chart contains more entities than that, it can't be selected.
-
Select any extra options to customise your export.
Option
Description
Include legend
If selected, a legend is included in the export.
Note
Only bulleted lists and notes created as chart text are included in PowerPoint exports. To learn more about chart text, refer to Add Text to Charts.
Complete legend for all sub-charts
Use this option in combination with Include legend to display all the legend entries defined for the sub-chart included in the exported file.
Fully Expand Structure
If selected, the group structure is fully expanded in the output even when it is not fully expanded on the screen. If not selected, the group structure is exported as seen on the screen, that is, only the routes expanded on screen are expanded.
Note
If you select this option for a large chart, it might not fit on the slide. However, you can change the chart and delete entity boxes in Microsoft PowerPoint.
-
Select Export.
The Stored Charts panel displays where the export you just started is listed. A status bar displays to show the progress of the export. You can cancel the export using the x against the status bar.
A notification displays when the export finished. While the export is running, you can edit the chart without altering with the running export.
Working with group structure charts in PowerPoint
Here are some pointers on working with the charts in Microsoft PowerPoint:
-
The entity boxes are grouped in the chart. While grouped together, you can reposition clusters of entity boxes such as branches by selecting the group and dragging it to a new position. The relationships between the entities are preserved. To move individual entities, ungroup the entity boxes first.
-
You can change the direction and shape of the relationship lines by grabbing them by one of the dots that display on the line.
-
To edit the details in an entity box, zoom in, and select the relevant detail.
